First time importing from China? It looks complicated but it’s actually pretty straightforward once you do it once. Here’s the real process, no fluff.

Step 1: Find the right supplier

Alibaba is the obvious starting point, but half the “factories” on there are trading companies. Here’s how to filter:

Check the business license. On Alibaba, look for “Verified Supplier” with the gold badge. Then check their business type — it should say “Manufacturer,” not “Trading Company.”

Look at their product range. A real bubble toy factory like Hongyu Toys specializes in a few categories. If a supplier sells bubble guns AND phone chargers AND furniture, they’re a trading company.

Ask for a video call. Walk through the production floor. If they make excuses, move on. At our factory in Shantou, we do these calls several times a week with new buyers.

Order samples. Before committing to 500 units, order 1-2 samples. It costs $20-50 including shipping. Worth every cent.

Step 2: Negotiate pricing and terms

Don’t just look at the unit price. Ask about:
– Payment terms (standard: 30% deposit, 70% before shipment)
– Whether the price includes packaging
– MOQ for custom colors or branding
– Production lead time (typically 7-20 days for standard products)

Shipping terms matter more than the unit price difference. FOB means you handle freight from the port. CIF means the supplier includes freight and insurance to your port. DDP means door-to-door delivery — the supplier handles everything including customs. For first-time buyers, we usually recommend DDP. It costs more but eliminates surprises.

Step 3: Payment and production

Wire transfer is standard. PayPal works for samples and small orders. Trade Assurance on Alibaba protects your deposit up to a certain amount.

After payment, ask for production photos. A good supplier sends them without being asked. After 7-10 days, you should see your products being assembled.

Before shipment, ask for QC photos of the finished goods. Check for:
– Correct colors and packaging
– No obvious defects
– Correct quantity in cartons

Step 4: Shipping and customs

For small orders (under 30kg), air freight makes sense. It’s fast (5-10 days) and customs is simpler.

For larger orders, sea freight is much cheaper but slower (25-35 days to US/EU). You’ll need a customs broker unless you’re using DDP.

One thing nobody tells first-time importers: factor in duty. Bubble toys imported to the US have around 0-6.8% duty depending on the exact classification. To the EU, it’s typically 4.7% plus VAT.
